Preparing Your Space for an Online Counselling Appointment

Preparing for an online appointment involves the room around you as well as the device in front of you. A little planning can reduce interruptions and make the start of the meeting more straightforward. Confirm the practitioner's own instructions first, because platforms and service arrangements differ.

Check the appointment details

Make sure you know the date, time, time zone where relevant, and the link or joining method. Ask whether you need to install anything or create an account. Use instructions received through the agreed contact channel, and query an unexpected request for payment or login information.

Find out what should happen if you cannot join. The backup might involve a telephone call, a message through a booking system or rearranging the appointment. Agree this beforehand rather than trying to invent a solution while the session is due to begin.

Consider who can hear the conversation

Choose a space where you can speak with as much privacy as the circumstances allow. Think about people nearby, thin walls, shared devices and smart speakers. Headphones may help you hear the practitioner more privately, but they do not stop someone else from hearing what you say.

If privacy at home is difficult, tell the practitioner before the appointment. Do not feel you have to conceal that practical limitation. Discuss whether a different time, setting or format could work. Suitability for online work is something to agree together.

Make the equipment comfortable to use

Charge the device, check the sound and position the screen securely. You should not have to hold a phone throughout the meeting if another arrangement is available. Place the device at a comfortable height, with enough light for the connection to function as intended.

Close unrelated windows and silence ordinary notifications where practical. If you use a shared computer, consider which account is active and where appointment information may remain visible. Follow the practitioner's instructions about recording; do not assume recording is part of the appointment.

Leave a little space around the meeting

Allow time to join without rushing and to return to other tasks afterwards. A glass of water, a comfortable seat and a note of any practical questions may be useful. You do not need to rehearse what you will say.

  • Confirm the joining link and backup contact method.

  • Check the device, sound, power and connection.

  • Consider privacy in the room and on the device.

  • Agree what happens if the connection is interrupted.

  • Tell the practitioner if the setting will not work.
